Last updated: October 23, 2026
Effective date: [EFFECTIVE DATE – CHRIS TO CONFIRM]
1. Who we are
Fuel Intelligence is a web app at [APP URL – TO CONFIRM: fuelintelligence.ca] that helps fleets track fuel spend and spot unusual fuel transactions. It is operated by 2107385 Alberta Ltd. (operating as Fuel Intelligence) (“we”, “us”).
Mailing address: 2107385 Alberta Ltd. (operating as Fuel Intelligence), 10008-103 Ave, PMB 6080, Grande Prairie, AB T8V 1B8, Canada

2. Accepting these terms
By creating an account or using Fuel Intelligence, you agree to these terms. If you use it for a business, you confirm you have authority to accept these terms for that business, and “you” includes the business.
If you have signed a separate pilot or service agreement with us, that agreement wins where it conflicts with these terms.
3. Who can use it
Fuel Intelligence is for business use only. You must be at least 18 years old. It is not a consumer product.
4. Early access
Fuel Intelligence is in [CONFIRM: demo / beta / early access]. Features may change, break, or be removed. A demo mode uses sample data and is labelled as such.
5. Accounts and security
- Keep your login details private. You are responsible for everything done under your account.
- Tell us right away at chris100gill@gmail.com if you think your account has been misused.
- A company account may have one or more users. The company’s admin decides who has access and is responsible for those users.
6. Your data
“Your data” means the files you upload (for example UFA, Petro-Canada SuperPass, Shell, or other CSV/TXT fuel card exports) and anything else you add, such as unit lists, driver names, receipts, or GPS/telematics data you choose to connect [CONFIRM which features are live].
- You own your data. You give us permission to store, process, analyse, and display it only to provide and support the service for you.
- You have the right to upload it. You confirm that you are allowed to share your data with us, including any personal information about your employees, drivers, or contractors, and any fuel card numbers. You are responsible for giving your staff any notice, and getting any consent, that the law requires.
- Card numbers. Please mask fuel card numbers before uploading where you can. [CONFIRM: The app stores only the last 4 digits of card numbers.]
- Do not upload payment card numbers for general credit cards, government ID numbers, health information, or anything not needed to track fuel.
How we handle personal information is explained in our Privacy Policy [CONFIRM URL].
7. Acceptable use
Do not:
- break the law or anyone’s rights while using the service;
- upload malware or try to break, overload, or get around our security;
- access another company’s data or try to;
- scrape, copy, resell, or reverse-engineer the service; or
- use the service to harass, discipline, or accuse any person based only on an automated flag without checking the facts.
8. Not affiliated with fuel card companies
Fuel Intelligence is independent. We are not affiliated with, endorsed by, or sponsored by UFA, Petro-Canada, Shell, or any other fuel card provider. Their names and trademarks belong to their owners. We use them only to describe which file formats we support.
9. Accuracy: check before you act
- Importing and reading files can produce errors. Fuel card formats change and files can be incomplete.
- Alerts, scores, maps, and written summaries (some produced with automated or AI tools) are prompts to look closer. They are not proof that anyone did anything wrong.
- Savings or return-on-investment figures are estimates unless measured on your own data.
- Fuel Intelligence is not accounting, tax, legal, or employment advice. Check important results against your source records.
10. Fees
[CHRIS TO DECIDE: The service is free during [beta/early access] / Fees are set out in your pilot or order form.] Our website currently shows an opening pilot price of $300 per month for Year 1, then a $10,000 conversion fee if you continue (negotiable) [CHRIS TO CONFIRM]. Prices are in Canadian dollars, plus applicable taxes. We will give you at least [30] days’ notice before any new or higher fees apply to you.
11. Availability
We aim to keep Fuel Intelligence running but do not promise it will always be available or error-free. We may pause it for maintenance or updates. We rely on third-party hosting and database providers.
12. Export and deletion
- You can export your data [CONFIRM: through the app / by request] while your account is open.
- If you close your account, we will delete your data within [X] days, except for copies in backups (deleted within [X] days) and anything the law requires us to keep.
- Ask for an export before closing. After deletion, we cannot recover your data.
13. Suspension and ending
- You can stop using the service and close your account at any time.
- We may suspend or close your account if you break these terms, do not pay fees owed, or create a security or legal risk. Where reasonable, we will warn you first and give you a chance to export your data.
- We may stop offering the service with at least [30] days’ notice.
14. Our intellectual property
The software, design, and Fuel Intelligence name belong to us or our licensors. These terms do not give you any ownership of them. If you send us feedback, we may use it without owing you anything.
15. Disclaimers
To the extent permitted by law, the service is provided “as is” and “as available”, without warranties of any kind, including fitness for a particular purpose.
16. Limitation of liability
To the extent permitted by law:
- we are not liable for indirect or consequential losses, such as lost profits, lost data, or business interruption; and
- our total liability for all claims is limited to [CHRIS TO DECIDE: the fees you paid us in the 12 months before the claim, or $100 if you have not paid any fees].
17. Indemnity
You agree to cover our reasonable losses and costs (including legal fees) from claims by others arising from your data, including claims by your employees or drivers, or from your breach of these terms.
18. Changes to these terms
We may update these terms. We will post the new version with a new effective date and, for important changes, tell you by email or in the app before they apply. Continuing to use the service after that means you accept the change.
19. Governing law
These terms are governed by the laws of the Province of Alberta and the federal laws of Canada that apply there. The courts of Alberta handle any dispute.
